Database and Systems Specialist

THE ORGANIZATION

Legal Aid at Work (LAAW) partners with people to help them understand and assert their workplace rights, and advocates for employment laws and systems that empower low-paid workers and marginalized communities.

LAAW has seven core program areas: (1) Community Legal Services; (2) Disability & Health Justice; (3) Gender Equity & LGBTQ Rights; (4) National Origin and Immigrants’ Rights; (5) Racial Economic Justice; (6) Wage Protection; and (7) Work & Family. Through these programs, LAAW:

  • Provides free, individualized legal advice and counsel throughout California to thousands of low-income workers;
  • Pursues targeted enforcement and impact litigation to strengthen and clarify the law;
  • Conducts community outreach and education for workers, their advocates, their families, and their health and social service providers; and
  • Advocates for laws, regulations, and policies at the local, state, and national levels to strengthen civil and workplace rights.

SUMMARY

Reporting to the Assistant Director of Operations and Technology, the Database and Systems Specialist will play a pivotal role in maintaining the operations of Salesforce and other systems, while also providing support to LAAW staff for database-related design, troubleshooting, and reporting. LAAW uses JusticeServer, a customization within Salesforce, to manage its client records and reporting. Using Salesforce database objects to capture data such as client intakes, legal case information, and attorney time entries, JusticeServer is a high usage platform for the organization.

Working well both independently and collaboratively with internal and external stakeholders, the Database and Systems Specialist will partner closely with the Assistant Director of Operations and Technology and Program staff to anticipate and respond to the needs of the office and staff as it relates to systems and data requests, serving as a technical expert and resource. This person will also play a pivotal role in maintaining strong data hygiene and ensuring that LAAW’s technology can support the ongoing and evolving needs of the organization.

RESPONSIBILITIES

The Database and Systems Specialist will provide support and assistance in many aspects of LAAW’s database design, implementation, evaluation, and improvement, often being required to toggle between various responsibilities. This person’s responsibilities will include but are not limited to the following:

Data Management

  • Be responsible for maintaining case management and client tracking systems (e.g., Salesforce/JusticeServer and other tools such as Form Assembly, SharePoint, and Twilio)
  • Ensure technical completeness and consistency of data entered by staff across Programs and various departments
  • Develop and implement best practices for data collection, entry, and validation to maintain high data integrity
  • In cooperation with LAAW’s Development department, regularly audit data for quality control and compliance with grant and regulatory requirements
  • Generate accurate and relevant reports for Programs and other departments in a timely manner
  • Collaborate with the Assistant Director of Operations and Technology on implementation and enforcement of a digital document retention policy

System Administration & Support

  • Serve as the primary administrator for the organization’s database management platforms
  • Train staff on technical data entry protocols, system use, and best practices
  • Troubleshoot technical issues related to databases and reporting tools

Collaboration & Strategy

  • Assist the Assistant Director of Operations and Technology, in partnership with leadership and Programs, to develop data strategies that enhance service delivery
  • Provide insights and recommendations to improve workflows, case management efficiency, and client outcomes
  • Collaborate with LAAW staff and external vendors to optimize data systems

  • Demonstrated commitment to social justice and civil rights work; a passion for Legal Aid at Work’s mission of seeking justice for low-wage workers
  • Intermediate level knowledge of Salesforce; ability to learn new systems and platforms quickly
  • One to two years of relevant work experience in data systems
  • Strong written and verbal communication skills
  • Exceptional follow-up and follow through with a keen attention to detail
  • Willingness to ask questions and share ideas
  • Experience managing multiple projects simultaneously and prioritizing competing deadlines, communicating proactively when issues arise
  • Ability to self-start and troubleshoot independently, while also working well in collaboration with colleagues
  • Ability to learn and improve new systems and software quickly

COMPENSATION

Legal Aid at Work offers salaries that are competitive in the public interest law community. Benefits include health plans, long-term disability and life insurance, 403(b) retirement plan, and generous paid vacation and holidays. As a unionized organization, Legal Aid at Work believes in the importance of employees organizing to improve their working conditions. This position is included in the bargaining unit represented by ESC Local 20. Salary placement at hire and salary advancement will be in accordance with the negotiated salary scale in the union contract for this position. The salary range for this position ranges from $82,742 to $108,484, depending on years of relevant experience.
