The Organization

Legal Aid at Work (LAAW) partners with people to help them understand and assert their workplace rights, and advocates for employment laws and systems that empower low-paid workers and marginalized communities.

LAAW has seven core program areas: (1) Community Legal Services; (2) Disability Rights; (3) Gender Equity & LGBTQ Rights; (4) National Origin and Immigrants’ Rights; (5) Racial Economic Justice; (6) Wage Protection; and (7) Work & Family. Through these programs, LAAW:

  • Provides free, individualized legal advice and counsel throughout California to thousands of low-income workers;
  • Pursues targeted enforcement and impact litigation to strengthen and clarify the law;
  • Conducts community outreach and education for workers, their advocates, their families, and their health and social service providers; and
  • Advocates for laws, regulations, and policies at the local, state, and national levels to strengthen civil and workplace rights.

The Program

The Community Legal Services Program operates 13 Workers’ Rights Clinics across the state of California. Through our clinics, we provide free comprehensive legal advice to approximately 2,000 low-income Californians each year about their workplace rights.

The Clinic’s goal is to empower workers by helping them understand their rights, obtain their wages, keep their jobs, and otherwise assert their workplace rights. Our Clinic model gives LAAW a unique perspective on what workers are experiencing “on the ground”, which helps to inform LAAW’s overall efforts to create systemic change in response to the most pressing needs of low-wage workers, communities of color, and other historically marginalized groups of workers.

The Workers’ Rights Clinic also strengthens the legal system by training the next generation of lawyers on the importance of workplace rights. Each year, we mentor approximately 100 law students from law schools and pre-law undergraduate programs around the state, who act as legal counselors in many of our Clinic locations.

The Position

Legal Aid at Work seeks a Program Administrator in our Community Legal Services program, who will join a team of attorneys and legal advocates to operate the Workers’ Rights Clinics. The Program Administrator is a key role for CLS as this person will oversee all administrative needs of our 13 clinics across the state, serve as a point of contact to our volunteer attorneys, students and community partners and help to improve our service delivery systems to ensure clients’ needs remain at the forefront of our operations.

Responsibilities:

Clinic Operations

  • Track and provide updates on the Clinic’s services (such as call volume, appointment capacities, service delivery inquiries and issues , community partner needs) and handle all other administrative needs for the program.
  • Provide insights and recommendations to improve workflows, case management efficiency, and client outcomes.
  • Oversee the Clinic master calendar and keep the Program Director and Staff Attorneys apprised of all upcoming Clinics, anticipated staffing needs, language capacities, and scheduling issues.
  • As a backup to Intake Specialists, conduct intakes, provide referrals, information, and/or counseling, as needed.

Relationship Management

  • Maintain CLS’ master list of volunteers, including students, attorneys, and community partners; serve as the main point of contact for all volunteer inquiries.
  • Coordinate with Clinic community partners to ensure that they are trained on the latest client-scheduling protocols and have the appropriate intake resources and referrals.
  • Ensure that all community partner clients are input into JusticeServer and ready for LAAW legal cases to be created during Clinic.

Systems and Data Maintenance

  • Ensure accuracy, completeness, and consistency of data entered by Clinic volunteers. Make certain that client notes, case files, and supporting documentation are properly recorded, uploaded to the database, and archived accordingly.
  • Manage volunteer access to CLS resources and data management tools.
  • As directed, generate reports with Clinic statistics for general information requests, audits, development/fundraising activities, declarations, grant-reporting, and presentations.
  • Oversee, maintain, and troubleshoot case management and client tracking systems for Community Legal Services (e.g., JusticeServer, Salesforce, Form Assembly, or other CRM tools).

Requirements

  • Full professional written and oral fluency in Spanish is required.
  • Exceptional technological skills, including an extensive working knowledge of Word, Excel, Outlook, and database applications.
  • Demonstrated administrative experience.
  • Flexibility concerning work hours and assignments, including ability to work in the evenings.
  • Ability to remain cordial and calm under pressure.
  • Ability to use tact and diplomacy when dealing with sensitive issues and to maintain confidentiality.
  • Strong organizational skills and attention to detail.
  • A cooperative work style, self-initiative, and upbeat attitude.
  • A commitment to diversity, equity and inclusion and the ability to hold and foster difficult and necessary conversations about sex, race, color, national origin, sexual orientation, gender identity, disability, and other protected categories.
  • A commitment to racial equity work and incorporating racial equity principles into legal advocacy.
  • Demonstrated commitment to and experience working in social justice and civil rights spaces, and a passion for Legal Aid at Work’s mission of seeking justice for low-wage workers.

Candidates may be located anywhere in the state of California. Legal Aid at Work offers employees the flexibility to work primarily from home, contingent on business needs and professional responsibilities. Strong preference will be given to applicants with personal or professional experience working with impacted communities.

Compensation

Legal Aid at Work offers wages and salaries that are competitive in the public interest law community. Benefits include health plans, long-term disability and life insurance, 403(b) retirement plan, and generous paid vacation and holidays. As a unionized organization, Legal Aid at Work believes in the importance of employees organizing to improve their working conditions. This position is included in the bargaining unit represented by Engineers and Scientists of California Local 20, International Federation of Professional and Technical Engineers (IFPTE). The Collective Bargaining Agreement is publicly available and may be viewed on the IFPTE’s website: https://ifpte20.org/federal-legal-professionals/. This position is union-represented, and compensation ranges from $79,560 to $104,312 depending on years of relevant experience.
