Temporary Intake Specialist

Summary

Legal Aid at Work (LAAW) enforces and expands the employment and civil rights of low-wage workers, their families, and communities by engaging in outreach and education, providing clients with legal advice and representation, and advocating for policy reforms. 

LAAW has seven core program areas: (1) Community Legal Services; (2) Disability Rights;(3) Gender Equity & LGBTQ Rights; (4) National Origin and Immigrants’ Rights; (5) Racial Economic Justice; (6) Wage Protection; and (7) Work and Family. Through these programs, LAAW: 

• Provides free, individualized legal advice and counsel throughout California to thousands of low-income workers; 

• Pursues targeted enforcement and impact litigation to strengthen and clarify the law; 

• Conducts community outreach and education for workers, their advocates, their families, and their health and social service providers; and 

• Advocates for laws, regulations, and policies at the local, state, and national levels to strengthen civil and workplace rights.

The Position

The Temporary Intake Specialist will report to the VP of Programs and Litigation and will assist in managing LAAW’s intake and referral system. As a temporary position, they will join LAAW for 18 months. This person will answer incoming calls and emails, and conduct callbacks and intakes. In doing so, they will collect pertinent information about caller/client employment law matters, routing clients to the appropriate team or scheduling clinic appointments, sharing LAAW guides, sample letters and educational materials, and when necessary, referring clients to outside organizations for additional expertise. As such, the Temporary Intake Specialist will work closely across Program teams to ensure clarity and alignment around intake criteria.

This position will require the Temporary Intake Specialist to be client centered and conduct intakes in a high-volume, responsive and detail-oriented manner, with strong follow-up and follow-through to make sure that all relevant information is documented consistently and accurately in LAAW’s case management system. Furthermore, this person will ensure clients receive proper callbacks to obtain additional information and/or to provide the necessary legal information under attorney supervision. The Temporary Intake Specialist must be professional, courteous, and knowledgeable about LAAW, the services we provide, and how to conduct timely, thorough intakes.

Requirements

While LAAW maintains an office in San Francisco, candidates may be based anywhere in the state of California. Legal Aid offers employees the flexibility to work primarily from home, contingent on business needs and professional responsibilities. Strong preference will be given to applicants with personal or professional experience working with impacted communities. This is a temporary 18-month non-exempt position (LAAW operates on a 35 hour work week). 

• Minimum of 3 years of relevant office and administrative experience; 

• Proficiency in and comfort with databases and/or CRM systems (such as Salesforce or similar platforms that handle client data); 

• Demonstrated success in data management and hygiene; experience with database reporting a plus; 

• Excellent communication and client-service skills and ability to handle a heavy call volume with tact and empathy;

• Fluency in Spanish is preferred, but not required;

• High level of professionalism with the ability to manage sensitive, personally identifiable information/materials and maintain confidentiality at all times; 

• Strong organizational and administrative skills in a fast-paced environment; proactive and efficient work style; 

• Able to work independently, cooperatively, and courteously with the public, attorneys, law students, and community volunteers; 

• Able to remain calm under pressure.

Compensation

Legal Aid at Work offers salaries that are competitive in the Bay Area public interest law community. Benefits include health plans, long-term disability and life insurance, 403(b) retirement plan with employer match and contribution, and generous paid vacation and holidays. As a unionized organization, LAAW believes in the importance of employees organizing to improve their working conditions. This position is included in the bargaining unit represented by ESC Local 20. Salary placement at hire and salary advancement will be in accordance with the negotiated salary scale in the union contract for this position. The current salary range for Specialists is $76,500 to $100,300, depending on years of relevant experience.
